Executive Committee

Standing Committees & Chairs (click for duties)

RECRUITMENT: This committee is paramount. During the off-season we must organize our efforts to get out more bodies. Recruitment will create signage and assign people to particular geographic areas around town. Those people will hang up signs in pubs, gyms, supermarkets, etc. in their areas. They will also organize other activities, such as a pub crawl.
- The committee will also price ad space in the Eugene Weekly, Springfield News, and Register Guard, including classified space. They will then present proposals to local businesses in conjunction with the Fundraising Committee. They will have the business pay for the ad space with the add reading: "[BUSINESS] IS A PROUD SPONSOR OF EUGENE RUGBY CLUB. PLAY RUGBY.
- Short-term goal: more people for the second side.
- Long term goal: possibly jumping up to Div. 2 after one full year of 30+ players.

PUBLIC RELATIONS: Will contact each news outlet by phone and email, telling them that chair is the PR person. Will ask each news outlet how to get public announcements of practice/match times and how to get match results announced.
- Following the match, the PR committee will memorialize the score, who scored, and when. By whatever process deemed appropriate by the Chair, the PR committee will develop a one page Press Release. The Committee will email and fax (and call-in when appropriate) to all news agencies.
- PR will work in conjunction with recruitment to get the word out.
- PR will organize other events and flyers to increase our exposure and image.
- PR will contact Bob Snyder, the Ducks coach, and Greg Ferrell, Women's coach, and offer to disburse their match results along with ours.

FIELD COMMITTEE: The Field Committee will schedule all practice locations and fields far in advance. They will also organize the setup of the field on game days or the night before and will require the entire team to help. Contacts: Janet at the City of Eugene Athletics (Kidsports, Tugman); Glenn Cashell at Universtiy of Oregon (S. Bank, Turf).

MATCH SCHEDULING: The Match Scheduler will prepare a schedule well in advance of the upcoming season, so that we may have plenty of matches prior to Bend. He will be in close contact with the field committee in order to have available home space. The Scheduler will try to equalize home and away matches.

FUNDRAISING: # 1 Goal is to get a sponsor to fund a new set of jerseys. The old jerseys will be auctioned off for cash for the team. The team moniker is for sale to the highest bidder.

Thurston High School R.F.C.: The committee will keep the high school club current with CIPP and will help organize informational meetings for parents and for potential players.
- The THS Coach will set up training sessions for the kids, throughout the off-season, at least monthly, but perhaps every other Sunday or so. THS Committee will also keep the school's contact list current (email, phone, etc.).

WEBMASTER: Will upload on to the website press releases created by Public Relations.Will upload the info created by the Historian's committee.Will set-up a virtual store, so players can pay for club stuff and dues with credit card. Will keep site up-to-date.

SOCIAL: Money will be collected one full week before the drink-up, independent of dues.
- Drinkup locations will be planned after the home schedule is announced.
- Will coordinate the awards banquet at the end of each season.

PHONE LIST: Will keep current the team phone/email/address/officer/committee list. Will distribute updated list to players periodically.

EQUIPMENT: Will keep track of and store ERFC assets. Will ensure that balls, cones, pads, etc. get to practices and matches.

JERSEYS: Will store jereseys and clean them immediately following matches. Will bring jerseys to matches. If a jersey is damages, Jersey Chair will fix it or consult with Executive Committee about buying new one.

HISTORIAN: Will archive old newspaper clippings and records from the team dated back to the 1970's Some of the good stuff will be scanned and the old match reports and rosters put into electronic format to put on the website.

SERGEANT AT ARMS (Dues Collection): Will keep track of incoming dues and work on a "no pay, no play policy." He will arrange for incoming dues to be deposited within 2 days of their receipt at US Bank (one of which is on corner of Pearl and E. 11th).

CIPP: CIPP Committee will arrange for all players to be CIPP-registered under a "no pay/register, no play" policy.
- He will coordinate his efforts with the Sergeant at Arms.

SELECTORS: Selections will be made Tuesday and announced at practice Thursday.
